How to Withdraw a Job Application by Email (With Templates)
Withdraw a job application with clear email templates for before an interview, after meeting the team, or after accepting another role.
To withdraw a job application by email, write to your hiring contact as soon as you have decided. Name the role, state that you are withdrawing from consideration, and thank them for their time. If an interview is scheduled, explicitly cancel that appointment with its date and time. A brief reason is optional; the decision should be clear even without one.
These templates cover leaving an application or interview process before accepting an offer from that employer. If you still want the job and only need a different interview time, use a rescheduling request instead.
Who should receive the withdrawal email?
Reply to the recruiter or coordinator already handling your application. Keeping the existing thread gives them the role and prior conversation. If a hiring manager has been your only contact, write to that person. You do not need to email every panel member separately to cancel a coordinated interview.
When you start a new thread, use a subject such as Application withdrawal - Operations Analyst - Alex Morgan. Add the requisition number if you have applied to several roles with similar names.
For an application with no human response yet, check the employer's portal for a withdrawal option and follow its instructions. Save the confirmation. If the portal provides no option, use a listed recruiting contact rather than replying to a no-reply receipt. When someone has already arranged a conversation, email them directly as well; do not assume a portal update cancels their calendar invitation.
Campus recruiting may require a separate cancellation through the career office. Follow that program's instructions alongside your message to the employer.

Use this when you have decided to leave the process and there is no appointment to cancel. The names and circumstances in these examples are fictional.

You can remove the sentence explaining the reason. Avoid describing a firm withdrawal as "I may need to step back" or "I am not sure I can continue." Those phrases leave the recipient to ask whether you want a delay, a change, or a cancellation.
If you have only received an invitation and have not booked a time, add: "Thank you for inviting me to interview. I will not be scheduling a conversation."

Include the appointment details even when they appear earlier in the thread. That makes the action visible to whoever manages the schedule.

If the interview is today, send the email promptly and use the urgent contact method provided in the invitation. A concise voicemail can identify you, name the appointment, and explain that you have emailed a withdrawal. Do not simply disappear from the call.
Decline the calendar invitation after sending the message, using any cancellation procedure the coordinator specified. Check for acknowledgment. If the appointment is close and nobody has replied, use the provided scheduling contact to confirm they received the cancellation; repeated messages to unrelated employees will not help.

After meeting the team, acknowledge something specific about the time they spent with you. You can be appreciative without implying that you remain a candidate.

Only include a specific reason if it is true and you are comfortable sharing it. For personal circumstances, "My circumstances have changed, and I am unable to continue with this application" can be sufficient. Avoid inventing another offer or writing a critique of each interview.
If the employer asks whether a change would keep you interested, answer honestly. When your decision is final, a short reply can say: "Thank you for considering alternatives. My decision to withdraw is final, and I appreciate your understanding."
What if you accepted another job?
Once you have accepted another position and are closing your search, tell the remaining hiring contacts promptly. Berkeley Career Engagement's offer guidance advises candidates who accept an offer to withdraw other applications and cancel other interviews. It also recommends clarifying the offer's terms in writing before making the commitment.
You can adapt the opening of either template:
I have accepted another position and am withdrawing my application for the Operations Analyst role. Please cancel our September 29 interview at 10:00 a.m. Eastern Time. Thank you for considering me and for the time you have spent on the process.
You do not need to name the other employer or disclose the compensation in this message. If you are still deciding between opportunities, resolve that decision before using a template that says you have accepted one.
Declining an offer you have received calls for a message that acknowledges the offer itself. Backing out of a position you have already accepted is a different situation from withdrawing an application; these templates do not address an existing commitment.
Can you withdraw from one role and stay interested in another?
Make the scope explicit. "Please withdraw all my applications" is wrong if you still want to be considered for another opening at the company.
For example: "I am withdrawing from the Operations Analyst position, requisition 142. I remain interested in the Customer Success Associate role, requisition 167, and would like to continue that separate process."
The recruiter may need to confirm whether the processes can remain separate. If you would consider a future opening, say what would make it relevant, such as a role without travel. Do not promise continued interest simply to soften the email. A courteous withdrawal cannot guarantee how an employer will handle a later application.
Close the loop with anyone who helped
After notifying the hiring contact, send a separate update to a person who referred or introduced you. They should hear your decision before spending more time asking the team about your application.
