How to Ask About Remote or Hybrid Work by Email
Ask a recruiter about remote eligibility, office days, location limits, and onboarding before an interview. Includes practical email templates.
To ask about remote or hybrid work by email, name the role, refer to the location wording in the posting, and ask which work arrangement applies to that position. If your ability to accept depends on the answer, state your location or attendance limit before scheduling interviews.
For example: "The Operations Analyst posting lists Boston and mentions flexible work. Does this role require regular attendance at the Boston office, or can someone based in Pennsylvania work remotely?"
That question gives the recruiter something specific to resolve. The templates below cover an unclear posting, an interview invitation, and a hybrid schedule. All names, companies, and role IDs in the examples are fictional.
Check the role's requirements before writing
Read the entire posting, including location fields, work-site details, travel requirements, and any separate employer policy page. Save the relevant wording so you can refer to the same version during your conversation.
A company's general statement about flexibility may leave the position's requirements unanswered. Microsoft's flexible-work guidance, for example, distinguishes required office attendance from geographical work location. It says its work-site expectation depends on the role, primary residence, and organization guidelines, and appears in the posting. Its zero-office-days category still specifies a country in which the applicant must be located.
That is one employer's system, not a definition every company follows. Check both attendance and location eligibility. A remote label alone does not tell you whether your proposed work location is acceptable.
If the listing clearly requires five days at an office you cannot attend, decide whether you have a real reason to ask about an alternative. You can make one transparent inquiry, but do not treat the advertised requirement as already waived.
When should you ask about remote work?
If you can only take a fully remote role, ask when a recruiter contacts you or before accepting an interview invitation. Express interest in the responsibilities while explaining the constraint. Waiting until the offer would leave both sides evaluating a position you may be unable to accept.
When office attendance is a preference rather than a limit, use the recruiter screen to ask about the team's routine. A separate email may be unnecessary if that conversation is already scheduled and the answer will not affect whether you attend.
Contact the recruiter handling the role or the hiring contact named in the posting. Reply in an existing thread when possible. The recruiter or hiring manager guide can help when you have no established contact.
Start with the requirement that determines whether you can proceed. Other questions can wait for the conversation.

Mention the exact ambiguity and your relevant location. A city and state or region are usually enough for this conversation; avoid sending your home address.
Subject: Work location question - Operations Analyst, OA-214
Hi Taylor,
I'm interested in the Operations Analyst role (OA-214), especially its work on improving customer onboarding. The posting lists Boston and mentions a flexible work arrangement.
Could you confirm whether the role requires regular attendance at the Boston office? I'm based in Pennsylvania and am considering positions I can perform remotely from here.
Thank you for clarifying,
Alex Morgan
If you can commute occasionally, replace the last sentence with what you can actually do: "I can attend planned quarterly meetings in Boston, but cannot commute there each week." Keep that distinction explicit so occasional travel is not mistaken for agreement to a weekly schedule.
If the posting already answers your question, acknowledge its requirement and ask whether an alternative is available for this role.
Template when a recruiter invites you to interview
Reply to the invitation and explain why you need the answer before confirming.
Hi Taylor,
Thank you for reaching out about the Customer Success Specialist position. The customer training responsibilities sound relevant to my experience.
Before we schedule, could you confirm whether this position can be performed remotely from Ohio? I am not able to relocate or attend a weekly office schedule.
If that work arrangement is available for this role, I'd be glad to discuss the opportunity.
Best,
Alex Morgan
If the answer is yes, proceed with the interview confirmation checklist. If the role is on-site, acknowledge the answer and decide whether to end the process. You can ask to hear about future remote openings without suggesting that you accepted the current requirements.
Clarify what a hybrid schedule means for this team
"Three days in the office" leaves practical questions. Choose the ones that affect your ability to work there:
- Which office would you attend?
- Are the office days fixed, selected by the team, or chosen individually?
- Does onboarding require a different attendance schedule?
- Is there required travel beyond the regular office days?
- What working hours or time-zone overlap does the team expect?
- Who confirms the arrangement for this role?
You can begin with two questions and discuss the rest during the screen.
Hi Taylor,
Thanks for confirming that the role follows a hybrid schedule with three office days each week.
Which office would I attend, and are those days fixed for the team? I can commute to the Newark office, but need to check the required days before confirming our interview.
Best,
Alex Morgan
An online interview does not establish that the job itself is remote. Ask separately about where employees perform the work.
What if the answer is still unclear?
A reply such as "We're flexible" or "You can discuss that with your manager" may leave your essential requirement unresolved. Explain the remaining question without accusing the recruiter of being evasive.
For example: "Thank you. Is remote work from Ohio available for this specific position from the start, or would I need to begin at the Chicago office and seek approval later?"
If the recruiter cannot confirm, ask who can. Leave the arrangement unconfirmed in your notes until someone responsible for the role answers. Decide whether that uncertainty is acceptable before investing in further interviews.
A possible future exception is different from an arrangement already approved for the role. If you need remote work immediately, say so; do not describe it as settled because someone said it might be considered later.
Confirm important details before accepting an offer
Revisit any unclear location requirement before accepting. Ask the employer to confirm the agreed work location and required attendance in its offer documentation or through the appropriate written process.
For example: "Before I accept, could you confirm that my work location will be Ohio with no regular Chicago office attendance, and note any required onboarding visits or team travel?"
Written clarification gives you a record of what was communicated. It does not establish that a policy can never change. This guide covers recruiting communication, not the legal effect of a work arrangement.
If you need time to resolve the details, use the offer deadline extension guide. Avoid accepting based on an arrangement you still need the employer to confirm.
Keep requirements with the employer conversation
In your job search outreach tracker, record the role ID, allowed work location, attendance requirement, who supplied the answer, and when. Keep open questions separate from confirmed details so a later conversation about another role does not inherit the wrong assumptions.
Personal Reach prepares outreach drafts tailored to a role and company for you to review before sending through Gmail. Compare the draft with the posting and your actual location constraints. Remove any sentence suggesting you can relocate or commute if that is untrue.
When you want help preparing outreach to suitable employers, create a Personal Reach account. Use confirmed work requirements to decide which opportunities deserve a conversation.
