How to Confirm a Job Interview by Email (With Templates)
Confirm a job interview with email examples for a set time, availability requests, scheduling links, and missing meeting details.
To confirm a job interview by email, thank the person who invited you, state that you can attend, and repeat the agreed date and time with the time zone. Acknowledge the meeting format or location and ask only for details you still need. Reply in the existing thread and follow any booking instructions in the invitation.
If the employer has asked for your availability, give usable windows instead of confirming an appointment that has not been agreed. If you selected a slot through a scheduling link, check that you received a booking confirmation before treating the interview as scheduled.
Read the invitation before writing
An interview invitation can ask you to choose a time, offer a specific appointment, or direct you to a booking page. Your response should complete that particular step.
The University of Michigan Engineering Career Resource Center recommends responding to an interview invitation within one business day, acknowledging the information provided, and confirming attendance when accepting. It also allows clarifying questions. Treat that timing as guidance; an explicit booking deadline or a next-day interview may require a faster reply.
Before sending, check the email and any attached calendar invitation for:
- The role and employer.
- The interview date, start time, time zone, and expected duration.
- Whether it is by phone, video, or in person.
- The meeting link, address, or instructions about who will call whom.
- Any preparation, documents, or booking steps requested.
Do not ask the coordinator to resend information already in the invitation. If one essential detail is missing, identify it precisely. You can accept the proposed time while asking for a video link; an unclear time zone needs clarification before you can confidently confirm the appointment.

The names, employers, and dates in these examples are fictional. Replace them with the details in your invitation, and check your calendar before saying you can attend.
Subject: Re: Operations Analyst interview
Hi Priya,
Thank you for inviting me to interview for the Operations Analyst role at Northstar. I can attend on October 6 at 10:00 a.m. Eastern Time via Teams.
I have received the meeting link and look forward to speaking with the team.
Best,
Alex Morgan
That is enough when the invitation is complete. You do not need to add another summary of your qualifications, attach your resume again, or ask for a list of questions the interviewers will use.
For an in-person meeting, replace the Teams sentence with the agreed location: "I can attend on October 6 at 10:00 a.m. Eastern Time at your Boston office, 200 Example Street, reception on the fourth floor." Use the actual address and time zone; the example wording is only a model.
If you must start a new thread, a subject such as Interview confirmation - Operations Analyst - Alex Morgan identifies the purpose. Keep the employer's subject when replying to an existing email.
Template: reply when they ask for availability
Offer windows that fit the full interview and any travel you need. Include the calendar dates rather than only "Tuesday afternoon," especially if the thread could be read later.
Hi Priya,
Thank you for the invitation. I would be glad to interview for the Operations Analyst role. I am available during these windows, all in Eastern Time:
- October 6, 10:00 a.m. to noon
- October 7, 1:00 to 3:00 p.m.
Please let me know which time works for the team and the expected interview duration. I look forward to speaking with you.
Best,
Alex
Giving availability does not reserve every time you listed. Look for the coordinator's selected slot or calendar invitation, then confirm it. If your availability changes before they reply, send an update in the same thread.
When a proposed time conflicts with an existing commitment, use the guide to rescheduling an interview for wording that offers alternatives. If you no longer want to proceed, send a clear withdrawal email rather than accepting a meeting you intend to skip.
What if the invitation uses a scheduling link?
Follow the requested booking process after checking that the invitation comes from your hiring contact. Review the booking page's displayed time zone, select one suitable slot, and check the resulting confirmation and calendar event.
An email reply alone may leave the booking unfinished when the employer specifically asks you to select a slot. Equally, avoid making a second reservation merely because you are unsure whether the first worked. Check your inbox, spam folder, and the booking page's confirmation before contacting the coordinator.
If the confirmation already contains all the details and no reply is requested, you can use it as your record. A brief acknowledgment is appropriate when the coordinator asks for one:
Thank you, Priya. I booked October 6 at 10:00 a.m. Eastern Time through the scheduling link and received the confirmation. I look forward to our conversation.
Use a monitored contact address for questions. A reply to an automated no-reply notification may never reach the coordinator.
Ask about an unclear time zone or conflicting details
Do not guess whether "10 a.m." means your local time or the employer's. Ask before confirming, particularly when the email and calendar display different times.
Hi Priya,
Thank you for the invitation. Could you confirm the time zone for the October 6 interview at 10:00 a.m.? I am based in Boston and want to make sure I reserve the correct time.
Best,
Alex
A calendar can display the same appointment in your local time. Compare the event's time-zone details before assuming there is an error. If the written date or time still conflicts with the calendar event, quote both and ask which to use. Avoid accepting two inconsistent appointments and hoping the team will resolve them.
Once clarified, reply with the confirmed date, time, and time zone. Check that your own calendar now reflects the agreed appointment.
Template: request a missing link or interview format
Ask for the detail that affects how you will attend or prepare. If the format is unknown, you might ask whether the meeting is a phone screen, video call, or in-person interview, and how long to allow. If those details are already clear, leave them out.
Hi Priya,
Thank you for arranging the interview. I can attend on October 6 at 10:00 a.m. Eastern Time.
I have not found a video link in the email or calendar invitation. Could you send the joining details when available?
Best,
Alex
For a phone interview, confirm who will place the call and the number to use if the invitation does not say. For an office visit, ask about the entrance or check-in instructions when necessary. A focused preparation question can also help: "Will this round include a presentation or exercise I should prepare in advance?" Follow instructions already supplied, including any requested work samples.
If the appointment is approaching and essential joining details are still missing, follow up with the coordinator in the same thread. Use a provided urgent contact method when there is too little time for an ordinary email reply. Keep the question about the missing detail; repeated confirmation messages do not supply a meeting link.
Who should receive the confirmation?
Reply to the person coordinating the interview. Keep other recipients when they are part of the scheduling conversation, and check the recipient list before using Reply all. You do not need to email every panel member separately to confirm the same appointment.
A recruiter or recruiting coordinator can handle logistics even when a hiring manager will conduct the interview. For earlier outreach decisions, the guide to recruiter versus hiring manager contact explains which person to approach. During scheduling, use the contact identified in the invitation.
Keep a usable record of the appointment
Save the confirmed event with the role and employer. Record any unresolved joining detail and when you will follow up in your job-search outreach tracker. After the interview, use the separate guide to following up after a job interview for the next message.
Personal Reach can help you prepare personalized outreach drafts for relevant roles and companies as you continue your search. Create an account when you are ready to work on another outreach email. Confirm this interview in the existing conversation with the hiring contact.
