How to Decline a Job Offer by Email (With Templates)
Decline an unaccepted job offer with a clear email, an optional reason, and practical templates. Includes a phone follow-up and replies to revised terms.
To decline a job offer by email, thank the person who sent it, identify the position, and state clearly that you will not accept. Add a brief reason only if you want to share it, then acknowledge the time the team spent with you. Send your decision once it is final and follow any response instructions in the offer.
A usable opening is: "Thank you for offering me the Operations Analyst position. After considering the opportunity, I have decided to decline the offer."

Make sure you are ready to decline
Read the offer and check what remains unresolved. If you would still consider the job after an answer about the schedule or compensation, ask that question before sending a final refusal. A decline should communicate a decision you have made.
If you need more time to compare your options, request an offer deadline extension before the current deadline. Do not send "I cannot accept right now" when you mean "Could I have until Tuesday to decide?"
Once you know the answer is no, avoid holding the offer until its last day merely because the time is available. Berkeley Career Engagement's offer guidance advises notifying employers within the agreed time frame and promptly releasing offers you are not interested in. The decision deadline is the latest agreed response date, not a reason to delay a settled decision.
Should you decline by email or phone?
Follow the employer's instructions and the communication pattern you have established. Harvard's offer guidance recommends declining in a live phone conversation, with appreciation for the offer. If you are following that guidance, use email to arrange the call and confirm the decision afterward.
You can request the call with: "Thank you again for the offer. Could we speak for ten minutes tomorrow about my decision? I am available between 10:00 a.m. and noon Eastern Time."
If the recruiter has requested an emailed decision, use the templates below directly. When the deadline is close and you cannot reach them, send a clear written decision through the provided contact channel rather than letting the deadline pass without a response. Keep a copy and check for acknowledgment.

The decision is clear even without a reason. Avoid replacing it with "This is a difficult decision" or "I have some reservations." Those statements tell the recipient how you feel without saying whether you are accepting.
You can mention a conversation you actually valued, but do not invent enthusiasm or promise to apply again. A plain thank-you is enough when you have little else to add.
Template: you have accepted another position
Mention the other role only when you have actually accepted it. You do not need to identify that employer or share its package.

Thank you for the Operations Analyst offer and for introducing me to the team. I have accepted another position and will be declining your offer.

If you are still waiting for another company to decide, this template does not describe your situation. You can decline without a reason if you would refuse the current offer regardless. Otherwise, resolve the outstanding decision or ask for more time.
When accepting a role closes your search, separately withdraw any remaining applications and cancel scheduled interviews. Declining one offer does not notify the other employers you have been speaking with.
How much should you explain about salary or fit?
Give a reason that is true, relevant, and comfortable to share. One sentence can be sufficient:
- "The required relocation does not work for my circumstances."
- "I have decided to focus on roles with more customer research work."
- "The compensation package does not meet what I need for my next role."
A compensation reason may prompt the employer to ask whether different terms would change your decision. Before sending it, decide whether you are willing to reopen that discussion. If your refusal is final, say so: "I appreciate the offer, but my decision to decline is final."
If a different package would make you accept, request a discussion of those terms before sending a final decline. Do not use a rejection template as a bluff. Avoid ranking this employer against competitors or listing every disappointing part of the interview process.
Template: confirm your decision after a call
After a live conversation, write a short confirmation in the offer thread. Describe only what you actually discussed.

If you did not give a reason on the call, remove the relocation clause and keep: "As we discussed, I am declining the Operations Analyst offer." If you only left a voicemail asking for a callback, do not write "as we discussed." The email can instead state the decision directly and explain that you tried to reach them.
What if the employer changes the offer or asks you to reconsider?
Read the reply before responding. A revised offer may address a constraint, but you do not have to reopen a final decision. You can say:

If the change makes you interested again, be explicit that you want to review it. Ask for the revised terms in writing and confirm the new response deadline.
